Position Summary: The Administrative Coordinator is a detail-oriented and proactive role that provides coordination
and essential support to our team, President/CEO, and Board of Directors. This role involves a variety of administrative
responsibilities that help facilitate the smooth operation of our programs and initiatives. The ideal candidate will have strong organizational skills, a commitment to our mission, and the ability to work collaboratively in a fast-paced environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties and skills required of this role.

1. Provide general team and office support:

· Be the welcoming face and voice for the organization; answer, screen, and direct incoming calls and greet visitors. Field
routine questions and inquiries and ensure visitors and callers are connected to appropriate staff.

Provide administrative support to staff including copying, filing, mailing, and other tasks.
Purchase office supplies for the organization and maintain supply inventory to ensure that supplies remain
in stock.
Process incoming and outgoing mail.
Responsible for support and maintenance of equipment; copier, postage meter, phone system. Liaison with appropriate vendors.
Coordinate and arrange meetings, prepare agendas, handouts, assemble packets, reserve facilities including
catering as needed, and overall coordination, set-up and logistics.
Organize materials for presentations and speaking engagements.

2. Provide administrative support to fundraising team including:

· In partnership with team, produce and coordinate the printing, merging, stuffing, mailing, and tracking of all mailed materials to donors in support of annual campaign.

· Compile donor packets.

· Assist with accuracy of lists for mailers with special consideration for DeTocqueville, BOD, Palmetto Society, and non-workplace donors.

· Assist with prospect research of donors.

3. Event support:

Assist with planning and coordinating special events from reserving facilities, catering, coordinating ticket sales, ordering materials and swag, and overall coordination, set-up and logistics.
Manage invites and RSVPs.
4. Donor Management:

· Assist with CRM updates as needed.

· Perform thorough obituary searches to maintain accurate and up to date donor records.

· Assist in cultivating and nurturing donor relationships through targeted outreach and engagement.

· Provide assistance to donors as needed.

5. Support of CEO and President:

· Provide support to the President/CEO, through daily management of emails, calendar, coordination of internal and external meetings, tracking tasks and managing communication. Provide and lead support to both internal and external parties
with a high level of professionalism and in a manner that reflects positively on the organization.

KEY REQUIREMENTS:

• High school degree or equivalent plus two years of college.

• Minimum four years of administrative experience.

• High-level Microsoft Office and database experience with proven ability to quickly learn and use office computer programs.

• Should possess strong organization, project coordination, customer service, and problem-solving skills.

• Attention to detail essential.

• Confidentiality of donor information is critical and must be maintained at all times.

SUMMARY: Under general supervision, provides project management and administrative support to the Development, Design and Construction teams in support of development projects. The project expeditor is a staff assistant, working with the functional manager(s) and engineering team leaders (Development/Permits, Construction, and Design). The project expeditors do not have the authority to make, execute or enforce decisions, but they may contribute some input. They also coordinate communication between the stakeholders of the project, include the functional manager(s) and the various independent departments involved with it.

Project Expeditors will maintain effective working relationships with BJWSA employees, BJWSA Development, Design and Construction team members, developer representatives, consulting engineers, community members, and appropriate others in support of assigned duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Duties include but are not limited to:

Provides technical and administrative support to the Development, Design & Construction teams, including scheduling assistance, preparation of correspondence, reports, and other such documents.

Consults with customers that are seeking to obtain infrastructure permits. Project Expeditor will seek to understand customer project needs and guide them through all BJWSA processes from beginning to end in accordance with local, state and federal requirements. Duties will include being the primary point of contact for development projects from beginning to end, advising customers of needs and deadlines, updating tracking databases, communicating our policies and procedures, following-up with customers to resolve concerns, and related communication duties.

Duties include processing and administrative setups of new customers, new projects, submittals, responses, close-out and each step of the processes described within the latest version of the BJWSA Development Policy and Procedures Manual.

Provides administrative and limited technical coordination in support of the Development and Construction divisions. This includes a role related to updating and maintaining external department communication tools, including our new external permits dashboard.

Communicates with others to maximize the effectiveness and efficiency of interdepartmental operations and activities, contractors, and engineers.

Assists in the coordination of Development, Design and Construction team meetings, responsibilities may include agendas, packet materials and notes for such meetings.

Prepares reports, meeting minutes, notes, and distributes agendas related to Development, Design and Construction activities.

Ensures standards and procedures for departmental functions are being followed, such as transcribing or preparing letters, meeting minutes, reports, statements, memoranda, notices, resolutions, budgets, and tables in accepted format utilizing correct grammar and spelling and maintaining confidentiality as required.

Provides exceptional service and financial aid advising through accurate and clear delivery of information related to Federal Title IV student financial aid, state aid, and other forms of private student financial aid. Assists with completion of the FAFSA; gathers, interprets, reviews and analyzes documentation for eligibility and requests additional documentation for incomplete or inconsistent applications to perform accurate needs analysis and verification of files. Responsible for handling the primary means of communication between students and the TCL Financial Aid Office by answering email communication through the Financial Aid mailbox in a timely manner. Serves as the initial point of contact by answering the phone and seeing in-person appointments and walk-ins. Reply to voicemail and email messages in a timely manner. Process routine outgoing communications including but not limited to award notices, loan notifications and exit counseling. Oversees all communication campaigns regarding financial aid events, important financial aid updates, and other pertinent financial aid information to be communicated to various stakeholders in mass.
Assists with various aspects of reconciliation of the Federal Pell Grant and Federal Loan programs. Assist with monitoring Pell Lifetime Eligibility Used (LEU) and Federal Aggregate Limits (SULA). Assist with review and resolution of Transfer Monitoring Reporting. Serves as the backup for import and export of financial aid data processes. Responsible for processing R2T4 in compliance with Federal regulations.
Responsible for production activities that support logging, imaging and filing paper and electronic documents. Ensure documents needing review are available for processing by appropriate staff members in a timely manner. Stay abreast of document imaging policies and procedures.
Processes federal and private loan applications. Deliver effective and efficient communication via one-on-one and group financial aid counseling, including educational financing, debt management, and default management. Ensure all Federal Student Loan Requests have a complete and valid MPN and entrance counseling. Guides parents in navigating the Federal PLUS Loan program ensuring timely responses to parents and students. Oversees exit counseling processes and communication.
Assists with monitoring and evaluation of student financial aid satisfactory academic progress (SAP). Assist with adjudication of student appeals relating to academic progress including but not limited to tracking student appeals, tracking of documents and updates to SAP eligibility and communication. Processes end of term functions, checking academic plan completion and cancellation of aid as needed.
Reviews requests from students/parents who have unusual circumstances that are not reflected in their initial application for aid. Ensures appropriate documentation is obtained and cases are presented to the Financial Aid Director, for review as needed.
Ensures all student/parent information is safe guarded according to general FERPA regulations, institutional policies, and with extended restrictions of Financial Aid & Veterans Affairs Policies and Procedures. Ensures scanning is completed in a timely manner and meets the state and federal electronic records storage requirements.

Trades Specialist V

Essential Functions

Maintain, install and repair electrical switches, light ballasts, all types of campus lighting including indoor, outdoor, exit and emergency lighting, replacing defective wall outlets, installing additional electrical receptacles in areas where required or during renovation projects performed by college maintenance department. Assists in ensuring all work is code compliant. Keeps records and schedules quarterly maintenance on exterior lights, exit lights and emergency lights.
Troubleshooting/testing of all types of electrical equipment including low voltage to high voltage hookups, motors, transformers, control panels and light electronic controls. identifying defective parts, submitting parts lists to supervisor for immediate procurement and repairing/replacing required parts as necessary.
Perform work related to the general repair, maintenance and construction in\ the following trade areas: Plumbing, carpentry, painting, HVAC and electric.

Monitors and fulfills maintenance work order requests. Consults with College managers and directors to ensure all maintenance needs are being met as planned.
Prepares budget estimates for requested projects. Selects and purchases (or requisitions) supplies and equipment needed for maintenance and special renovation projects. Performs various administrative functions such as completion of log and historical records.
Assist in other trade specialist in repairs, renovation, upgrades, minor repairs and maintenance to equipment and tools, moves office furniture and arranges conference rooms and meeting areas as needed for various meetings and conferences; grounds-keeping duties and carpentry repairs. Respond to emergency calls after normal working hours and/or be available to work as support services for college activities such as graduation and other college hosted events outside of normal work schedule. Performs all other related duties as may be assigned. Operates College vehicles and a forklift when necessary.

A high school diploma or equivalent and formal training or trade experience that is directly related to the area of employment.

Preferred Qualifications

Laboratory Analyst I:

SUMMARY: Under general supervision, performs duties related to the operation of the water and wastewater laboratory according to South Carolina Department of Environmental Services (SCDES) regulations. Performs a variety of work involving the chemical and biological analysis of water and wastewater.

Duties include but are not limited to:

Provides technical and administrative support to the Laboratory and Water Quality Manager in managing the day-to-day operations of the Authority’s water and wastewater laboratories in accordance with all SCDES regulations.

Performs daily routine analysis of raw and finished drinking water at Chelsea and Purrysburg water plants for alkalinity, hardness, phosphates, total coliforms, E.coli, residual chlorine, turbidity, fluoride, conductivity, dissolve oxygen (DO), and other parameters.

Performs daily routine calibrations of lab equipment at Chelsea and Purrysburg water plants which include balances, ovens, spectrophotometers, DO meter, conductivity meters, and pH/ISE meters.

Laboratory Analyst II:

SUMMARY: Under minimal supervision, performs duties related to the operation of the water and wastewater laboratory according to South Carolina Department of Environmental Services (SCDES) regulations. Performs a variety of work involving the chemical and biological analysis of water and wastewater.

Duties include but are not limited to:

Provides technical and administrative support to the Laboratory & Water Quality Manager in managing the day-to-day operations of the Authority’s water and wastewater laboratories in accordance with all SCDES regulations.

Utilizes atomic absorption (AA) spectroscopy with flame and furnace atomizers to obtain quantitative and qualitative data for trace metals in water.

Operates the Gallery automated chemical analyzer to test samples for nitrates, nitrites, phosphates, and ammonia.

Performs routine weekly analysis of raw and treated wastewater for biochemical oxygen demand (BOD), carbonaceous biochemical oxygen demand (CBOD), total suspended solids (TSS), total dissolve solids, (TDS), ammonia, nitrates, nitrites, total and ortho phosphates, alkalinity, chlorides, and turbidity. 

Performs daily routine analysis of raw and finished drinking water for alkalinity, calcium hardness, phosphates, total coliforms, e.coli, residual chlorine, turbidity, fluoride, conductivity, TDS, color, and dissolve oxygen (DO).

Performs daily routine calibrations of lab equipment which include balances, ovens, spectrophotometers, DO meters, conductivity meters, pH meters, and ISE meters.

Utilizes additional lab equipment to perform analyses such as turbidimeter, DR2800, and DR3900 spectrophotometers, BOD dissolve oxygen meters, balances, calculator, furnace oven, laboratory oven, laboratory dishwasher, Metals Digestion Unit (HotBlock), Rapid Distillation Unit, computer, incubators, coliform water bath, digital burets, colorimeters, adjustable volume pipettes, Quanti-Tray sealer, and autoclave.

Chemist:

SUMMARY: Under minimal supervision, performs duties related to the operation of the water and wastewater laboratory according to South Carolina Department of Environmental Services (SCDES) regulations. Performs an extensive range of analytical tests for the chemical and biological analysis of water and wastewater including but not limited to gas chromatography, spectrometry, and particle imaging.

Duties include but are not limited to:

Utilizes gas chromatography and mass spectrometry (GC/MS) with solid phase microextraction (SPME) and programmable temperature vaporizing (PTV) for quantitative and qualitative results of water samples tested for taste and odor compounds (Geosmin and 2-methylisoborneol).

Prison Program Coordinator

An entry-level position in the multi-skilled Field Operations workforce.
